I think it’s safe to say that many bookkeepers and accountants don’t realize how many amazing ways you can use Asana. Sure it’s a great tool for project and task management. It helps keep client workflows in order and helps avoid overdue deadlines.

But what about all the other aspects of running your firm?

Yep, Asana can support you with that too! We use Asana to organize projects for things like HR, internal operations, and even personal tasks!

In this blog, we’re going to focus specifically on how to use Asana to keep track of education for you and your team!

What is Asana?

Besides the best thing ever, Asana is our tried and true project management system!

“You don’t have to shuffle between spreadsheets, email, and other tools to keep your projects on course. Track and manage everything—from day one to the deadline—with Asana.” - asana.com

When you’re running a bookkeeping or accounting firm, you NEED to keep it organized to avoid the swarm of tasks from taking over your life.

Even if you don’t have a team, you still need to keep all your tasks in one location so you can see the big picture of exactly what’s going on each day! We recommend you take the time to set up solid workflows ASAP, so that if you do hire in the future, you’ll be able to delegate easily!

Asana’s the perfect match for self-employed bookkeepers and accountants. Inside Asana, you can create and store workflows for your firm, set up recurring tasks for increased efficiency, and categorize different projects to organize your firm (and life)!

Understanding the Hierarchy of Asana

  • Separate each department of your company using Teams. You might set up Teams for Client Work, Marketing, and Education - just to name a few!

  • Next, you’ll create Projects to further categorize the your work! You can choose which “view” works best for each project, and toggle between them as needed!

  • Tasks and Subtasks are the final piece to the puzzle. You can house tasks in one or multiple projects, or just assign it to yourself and view it in My Tasks.

Use Asana for More Than Just Client Work

So now that we’re clear on what Asana is and why it’s the BEST...

It’s time to dive into the ways you can use it beyond just managing and executing client work!

psst...if you’re already using Keeper for client work, here’s how to use Asana alongside it for a super streamlined firm!

One of the reasons we LOVE Asana is because it has the flexibility to help us manage everything that comes with running a business. We teach firm owners how to use Asana to create job descriptions from their tasks, streamline processes for month end, and prep their team for when they go on vacation!

But the most unexpected way to use Asana, is to help you stay on top of the courses and programs you buy. It’s super common (and highly recommended) that you invest in yourself to constantly improve as a leader, firm owner, and CEO.

Since we use Asana for everything, we’re PUMPED to share with you how we keep track of education - and yeah, we’ve got a workflow for it!

Keep track of courses, programs, and education

In our education project for Asana, you’ll find that it’s not fancy - but it IS effective!

You can duplicate and customize this project as needed so you always have a roadmap to follow as you move through a program (like ours, maybe?)!

Here’s how we recommend you set up your education project:

  1. Add helpful links and information to the ‘Important Info’ section.

  2. Create a section for each module of the course.

  3. Add a task in each module for every lesson.

  4. Assign each lesson to yourself and give it a due date to keep you accountable.

  5. Inside each lesson task, use the description box to take notes (that’s right, you don’t need a separate note app!).

  6. If the lesson includes action steps, create a subtask for each one so you can actually TAKE action on them!

The best part is that you can repeat this process no matter how many programs you join - they’ll always be organized and actionable!

Create projects for team education

If you want to take the education workflow in Asana one step further, teach your team how to create the project for any programs you decide to put them through!

I’m a huge fan of investing in my team’s education, so that we can all strengthen as a team! If your team member is going through a course, show them how to create their own project in Asana to organize their notes and action steps!

Don’t let courses sit on your virtual shelf

When you invest in a course, the worst thing you can do is let it collect dust on your virtual shelf! Most courses were created to solve a problem. So joining a program or course is a step in the direction of a better version of yourself - as long as you’re willing to put in the work!

I get it, though. Life is always happening and sometimes our plans don’t pan out. Or, you get so wrapped up in working that you completely forget about signing up!

Our method of using Asana to keep track of education and courses is the BEST for keeping yourself accountable and actually implementing what you learn!
